As part of our growing operations, we are looking for a highly organized and reliable Back Office Administrator to join our team at the Ritsona Plant facility. The successful candidate will report to the Plant Manager and will support the facility and staff with all day-to-day administrative operations. The role involves accurate handling of documentation, maintaining filing systems, and ensuring effective communication with internal departments to support smooth and compliant operations.
Role Overview:
The Back Office Administrator plays a vital role in the seamless functioning of the plant’s administrative processes. This position is responsible for managing the flow of operational documents such as delivery and shipping records, maintaining accurate records, and supporting the coordination between the facility and central departments like Accounting. With a focus on organization, accuracy, and teamwork, the Back Office Administrator helps ensure that administrative support aligns with operational needs and company standards.

Key Responsibilities:
The role involves:
• Receive, review, and accurately record delivery notes, shipment documentation, and waste transfer forms in line with operational procedures.
• Carry out daily administrative and back-office functions, including data entry, document management, and handling internal communications.
• Oversee the proper filing and archiving of physical and digital records, ensuring accessibility and compliance with documentation standards.
• Coordinate closely with the accounting department to support invoice processing, document reconciliation, and financial data accuracy.
• Monitor and maintain up-to-date records related to inbound and outbound shipments, ensuring all necessary paperwork is complete and traceable.
• Assist in the preparation of internal documentation, summaries, and reports to support plant operations and management oversight.
• Contribute to the smooth daily functioning of the department by supporting cross-functional coordination and raising operational issues proactively.
• Provide general administrative assistance to the Plant Manager and team, including support for meetings, schedules, and office supplies.
Requirements:
Professional Experience
• Proven experience of at least 3 years in a similar administrative or office support role.
Academic Background & Qualifications
• Bachelor’s degree in Business Administration, or a related field. Bachelor’s degree in Accounting, Finance, or a related field will be preferred.
Languages & Technical Capabilities
• Fluent in Greek and English (written and spoken).
• Proficient in MS Office Suite (Word, Excel, Outlook) and general PC use.
• Familiarity with data entry systems and software; experience with Entersoft ERP will be considered a strong asset.
Skills:
• Strong organizational skills and ability to work effectively as part of a team.
